The cash arrives late, in a file
Courier statements carry advances, charges, taxes and returns. Matching them to parcels by hand is slow, and the errors hide in the totals.
Early access for Shopify + PostEx merchants
Black Ledger is the ERP built for cash-on-delivery merchants in Pakistan. Shopify orders, PostEx parcels, the cash that comes back, your stock and a month-end that closes itself, together, without Excel.
COD ka hisaab. Bina Excel ke. Har mahine.
Works with
The problem
You ship today, the courier collects tomorrow, and the money reaches you weeks later in a statement nobody wants to reconcile. Meanwhile the orders live in five places.
Courier statements carry advances, charges, taxes and returns. Matching them to parcels by hand is slow, and the errors hide in the totals.
Shopify, WhatsApp, the courier portal, a spreadsheet and somebody's memory. Nobody can say where a parcel is, or what it is worth.
Stock counts, wallets, supplier payments and a balance sheet that does not quite balance. Then you do it all again next month.
Black Ledger replaces the spreadsheet with a queue. Every step has a screen, every screen has an owner, and every rupee has a posting.
How it works
The same path every day. Whoever is at the desk always knows what comes next.
Shopify orders land in one queue. Risky ones are flagged, and customers confirm on WhatsApp.
Fix an address in place, then book hundreds of parcels with PostEx in one action.
Scan parcels onto a load sheet. The rider takes them, and nothing leaves unrecorded.
Tracking updates the books. Returns are scanned back in, inspected and credited.
Import the PostEx payment report. Sales, charges and advances post themselves, and anything odd is flagged.
A checklist shows what is missing. The statements are already there, in your own layout.
What is inside
One system, one set of books. No exports to stitch together.
Check, fix and book in bulk. Nothing is sent to the courier until you press Book.
Confirm orders before you ship them, with reminders and escalation when a customer goes quiet.
See every parcel in transit and answer a delivery problem with one remark.
Load sheets, rider handover and a record of exactly what left the warehouse.
Scan, receive, inspect and credit. Saleable stock goes back on the shelf, damaged stock is quarantined.
Import the payment report. Every row is checked, every parcel settled, every difference visible.
Import the CSV. Payee rules post what they know, and you decide the rest once.
Know what you hold, what is out with the courier and what to reorder. Count at month end from a CSV.
Preview, then publish your products and prices to Shopify. Nothing changes until you say so.
Fiscal invoices from your sales, with the token and tax mappings you control.
A checklist for the month: what is unposted, what does not tie, what is still in draft.
Give each person the narrowest role that does the job. Every posting says who made it and why.
The books
The balance sheet, income statement and cash flow come straight from the ledger, in the layout you already read. They do not need typing up.
Built for Pakistan
Advances at pick-up, deductions, returns that claw the advance back: the statement is read the way PostEx writes it.
PKR throughout, a July to June year if that is yours, and dates that match your day.
Order confirmations on the channel your customers use, and fiscal invoicing for the ones who need it.
Plain, step-by-step guides for every screen, so the whole team can follow them.
Control
Black Ledger runs on a server you own, with the care a ledger deserves.
It lives on your own server, not in a shared cloud. Backups are encrypted and tested by restoring them.
Tokens for Shopify, PostEx and the rest can be entered but never read back, not even by an administrator.
Order operators, warehouse staff, accountants and auditors each see only what their job needs.
Every posting records who made it and from which document. Nothing is rewritten silently.
Questions
It is in early access. The software is fully built and tested end to end, and we are onboarding the first merchants on their real Shopify and PostEx accounts. We say so plainly because we would rather earn your trust than claim it.
No. Shopify stays your storefront. Black Ledger imports your orders, can publish your catalog back to it and keeps stock in step.
PostEx today: booking, tracking, load sheets and payment reports. Other couriers and other marketplaces are not built yet.
Download the CSV from the courier portal and import it. Black Ledger checks every row, posts the sales, charges, advances and the wallet credit, and flags any row it cannot explain instead of guessing.
Yes. Opening balances are loaded from schedules (stock by item, suppliers, customers, banks and what the courier owes) and checked against your own balance sheet before you start.
No. It gives your accountant clean books, a month-end checklist and statements that tie, so their time goes on advice instead of typing.
On a server you control. There is no shared database and no one else can open your company.
